Schedule a Meeting in a Room
- Create a new meeting from your Outlook client.
- Add your AnyMeeting shortcut URL to the Location field by clicking the AnyMeeting icon (Outlook add-in) or do this manually.
Note: If you use the Outlook add-in, please check if the correct user is authorized.
- Add the necessary Room Resource as an attendee. You can usually find the Room in your Address Book in Outlook.
Note: if Outlook asks you to update the location link with the Room info, click No.
The location field must contain the AnyMeeting URL:
Start a Scheduled Meeting as a Host
You can start a scheduling meeting as a host if all the below are true:
- the Room and the Host are from one organization.
- the Host connected their calendar in the Elevate desktop application.
- your room was added as an attendee during the scheduling process.
Once you have confirmed all the above points are true, to start the meeting:
- Find the meeting you want to start in the Upcoming Events section on a Controller (tablet).
- Tap Start (the button becomes active 15 minutes before the meeting).
Join a Scheduled Running Meeting
You can join a scheduled running meeting started by another host (AnyMeeting user who scheduled the meeting) if the host invited the Room by adding the Room Resource as an attendee. To do this:
- Find the meeting owner's meeting in the Upcoming Events section on a Controller (tablet). The Start button will become active 15 minutes before the meeting.
- If the meeting was started by the Host, you will see an Enter button. Tap this button to join the meeting.
- If the meeting was not started yet, you can start it from the Room by tapping the Start button.
Join a Scheduled Meeting from a Room if the Meeting Host (Organizer) Doesn't Have Calendar Integration
Important: Scheduled meetings cannot be started from a Room on behalf of the meeting host if the host doesn't have Calendar Integration enabled. You can only join this meeting from a Room as an attendee if the meeting host (organizer) already started this meeting.
- If you tap Start (the button becomes active 15 minutes before the scheduled start time) and see a popup "You don't have permission to start this event", it means the organizer doesn't have Calendar Integration enabled or did not connect their Calendar in the Elevate desktop application.
- Tap Join as Attendee to enter this meeting or Cancel to return to the Upcoming Events section.
- If you are the Host (Organizer) and you see this popup, it means you don't have Calendar Integration enabled. You should start the meeting from your account on another device (PC, laptop, mobile) and then join from the Room.
- If the meeting wasn't started by the host yet, you will see the popup "Host (Name) is not currently hosting a meeting." The status will refresh every 10 seconds. You will join automatically when the host starts the meeting.
- You can close this window if you decide not to join.
